Terms and Conditions
To ensure a relaxing and worry-free experience at Swissôtel Poiana Brașov, we kindly ask you to read the following terms and conditions carefully. These guidelines are designed to ensure the comfort, safety, and well-being of all our guests.
SECTION 1: CHECK-IN / CHECK-OUT
1.1 Check-out time: 12:00
1.2 Check-in time: from 16:00
1.3 Late check-out (subject to availability):
until 13:00 – free of charge
between 13:00 and 15:00 – 25% of the nightly rate (excluding breakfast)
between 15:00 and 17:00 – 50% of the nightly rate (excluding breakfast)
after 17:00 – full nightly rate applies (excluding breakfast)
1.4 Early check-in (subject to availability):
between 08:00 and 11:00 – full nightly rate (excluding breakfast)
between 11:00 and 14:30 – 50% of the nightly rate (excluding breakfast)
from 14:30 – free of charge, depending on availability
1.5 Requests for early check-in or late check-out will be confirmed or declined within 24 hours prior to arrival, based on hotel occupancy.
1.6 If you arrive before the o cial check-in time, room allocation depends on readiness and priority.
1.7 Complimentary late check-out until 13:00 is granted only with prior approval from the Front O ce Manager, Sales Manager, or General Manager, and upon notifying the Housekeeping Manager.
1.8 Upon arrival, all guests must present a valid ID for registration and sign the check-in form
1.9 Children under 14 without ID will be registered using their full name and date of birth.
1.10 Luggage may be stored at reception until 16:00 on the day of departure.
1.11 Parking must be vacated by 13:00. After this time, a fee of 100 RON/hour will be charged.
SECTION 2: ACCOMMODATION – RULES AND CONDUCT
2.1 Guests must treat all furnishings and equipment with care.
2.2 Damage will be charged, including repair or replacement costs.
2.3 Do not remove hotel property from the room.
2.4 Maintain quiet to avoid disturbing others.
2.5 Sound systems or loud music are not allowed in rooms or public areas.
2.6 Towels and linen are for personal hygiene only. Damage due to improper use will be charged.
2.7 Do not enter sta -only areas or other guest rooms.
2.8 Children must be supervised at all times. The hotel is not liable for unsupervised accidents.
2.9 Report any damage or malfunction immediately.
2.10 Use of hotel facilities without respecting safety rules is at guests’ own risk.
2.11 Outside food or drinks are not permitted in guest rooms or public spaces.
2.12 Personal electric appliances (e.g. heaters, microwaves) are not allowed in rooms.
2.13 Weapons, explosives, or prohibited substances are strictly forbidden and will be reported to authorities.
2.14 Do not flush inappropriate objects into the toilet.
2.15 Nudity and indecent exposure are forbidden, including in the spa.
2.16 Dispose of waste only in designated bins.
2.17 Lost or damaged key cards are replaced at reception with ID.
2.18 Children Policy
Children aged 0–5 years: free of charge when sharing bed with parents
Children aged 5–12 years: 25 EUR/night (includes breakfast)
Children over 12 years: considered adults
Children under 2 years: cribs available upon request and subject to availability
Parents/guardians are responsible for children’s behavior and compliance with hotel rules
2.19 Running or playing sports is not allowed in lobby or hallways.
2.20 Ski boots, poles, snowboards, and similar gear are prohibited indoors.
2.21 Bicycles must be stored only in designated areas (bike racks).
SECTION 3: DRESS CODE
3.1 Respectful and appropriate attire is required in all public areas.
3.2 Entry in robe, swimwear, tank tops, shorts, or beach slippers is not permitted in the restaurant, bar, or lobby.
3.3 Guests heading to the spa must wear the robe and slippers provided in the room or suitable attire.
3.4 Swimwear is not allowed in the indoor public areas of the hotel.
SECTION 4: PAYMENT METHODS
4.1 Accepted forms of payment include:
Credit/debit cards: Visa, Mastercard, Maestro
Cash: RON and EUR (EUR accepted only from foreign guests)
Holiday vouchers: PLUXEE, Edenred
SECTION 5: SMOKING POLICY
5.1 Smoking, including electronic cigarettes, is strictly prohibited in all indoor spaces, in accordance with Romanian law (Law 349/2002, amended by Law 15/2016).
5.2 All guest rooms are designated non-smoking.
5.3 A penalty of 100 EUR/night (converted to RON at the BNR exchange rate) applies for smoking in non-permitted areas.
SECTION 6: PETS POLICY
6.1 Pets are allowed only with prior notice, in accordance with the hotel’s pet policy.
6.2 The following conditions apply:
Guest must notify the hotel when booking
Pet registration form must be completed (Annex 1)
A declaration of responsibility must be signed at check-in (Annex 2)
The pet must be microchipped and have valid vaccination records
Pets may not be left unattended in the room
In public areas, pets must be on a leash or in a carrier
Pets are not allowed in the restaurant, spa, or pool
Housekeeping will access the room only when the pet is absent or under supervision
6.3 Pet Fees and Guarantee
– First pet: 45 EUR/day (includes: bed/mattress, bowls, access to the reception area, terrace, restaurant and in the guest room) – Second pet in the same room: 50 EUR/day
– Special cleaning fee (if applicable): 500 RON
– Damage deposit: 1,000 RON blocked at check-in (refundable if no damage is found)
6.4 The hotel reserves the right to refuse accommodation to pets with aggressive or disruptive behavior.
SECTION 7: CAR TRANSFER
Swissôtel Poiana Brașov oers car transfer services at an additional cost.
For availability, pricing, and bookings, please contact the reception in advance.
SECTION 8: MEALS
8.1 Breakfast is served daily in the hotel restaurant between 07:30 and 10:30.
8.2 À la carte service is available from 12:00 daily. The last order can be placed by 22:00.
8.3 The hotel reserves the right to adjust these hours. Guests will be informed at check-in if changes occur.
SECTION 9: ROOM SERVICE
9.1 Room service is available 24/7.
9.2 The in-room menu includes a selection of items that can be ordered at any time.
9.3 A surcharge of 25 RON applies for breakfast delivered to the room.
SECTION 10: PARKING AND VEHICLE POLICY
10.1 The hotel o ers private parking for guests and visitors, subject to fees.
10.2 Parking Fees
Overnight guests: 85 RON/night
Restaurant guests: 14 RON/hour
Visitors not using hotel services: 100 RON/hour
10.3 Parking Regulations
10.3.1 Vehicles with LPG systems or taller than 2.10 m are not permitted in the underground garage.
10.3.2 Idling with the engine running is prohibited.
10.3.3 The hotel is not responsible for damage, theft, or loss of vehicles or their contents.
10.3.4 By using the parking facility, the driver fully releases the hotel from any liability.
SECTION 11: PERSONAL BELONGINGS AND SECURITY
11.1 Guest rooms are equipped with secure electronic access systems and individual safes.
11.2 Guests are strongly advised to use the in-room safe for valuables.
11.3 The hotel does not assume responsibility for lost, forgotten, or stolen items within the premises.
SECTION 12: SPECIAL ASSISTANCE
12.1 The hotel is designed to o er accessibility and comfort for all guests.
12.2 Most facilities are accessible to persons with disabilities.
12.3 Guests requiring special assistance are kindly asked to inform the hotel in advance to ensure proper support.
SECTION 13: CONFIDENTIALITY OF INFORMATION
13.1 Swissôtel Poiana Brașov will never use your personal information without prior consent.
13.2 Guests may opt in or out of receiving future communications from the hotel.
SECTION 14: PERSONAL DATA PROCESSING (GDPR)
14.1 The hotel complies with EU Regulation 679/2016 (GDPR).
14.2 Specific internal procedures ensure secure and responsible data handling.
SECTION 15: ENVIRONMENTAL POLICY
15.1 The hotel is committed to environmental sustainability and encourages responsible guest behavior.
15.2 Towels and linens are changed every two days or upon request.
15.3 To request replacement, please place towels or linens on the floor or in the bathtub.
SECTION 16: DISPUTES AND COMPLAINTS
16.1 The hotel reserves the right to charge a guest’s credit card in the following cases:
– Departure without paying for services
– Causing damage or destruction to hotel property
– Taking hotel property without paying for it
– Late cancellation outside the free period
16.2 All complaints will be addressed with professionalism and in a timely manner.
16.3 Any disputes will be handled amicably, with mutual respect.
SECTION 17: GUEST CONDUCT AND ADMISSION POLICY
17.1 The hotel reserves the right to refuse service or entry to guests who:
– Are under the influence of alcohol
– Display rude, aggressive, or o ensive behavior
– Disturb other guests or damage the hotel’s reputation
17.2 Guests violating internal regulations may be removed from the hotel, restaurant, spa, or wellness areas.
17.3 The hotel does not tolerate: obscene language, verbal or physical abuse, harassment, or inappropriate behavior.
17.4 Management may cease providing services to guests who breach this code of conduct.
SECTION 18: ALCOHOL AND SMOKING POLICY
18.1 Bringing or consuming alcoholic beverages purchased outside the hotel is strictly prohibited.
18.2 The restaurant reserves the right to stop serving guests who are under the influence of alcohol or behave inappropriately.
18.3 Smoking is not allowed in guest rooms.
SECTION 19: FIRE AND EARTHQUAKE SAFETY
19.1 In case of fire
19.1.1 Evacuate the building immediately by following the instructions of hotel sta or the posted evacuation plan.
19.1.2 If the fire starts in your room, leave immediately, press the alarm button, and notify reception using the room or corridor phone.
19.1.3 Do not return to the room to retrieve personal belongings.
19.1.4 Use only emergency stairwells. Do not use elevators.
19.1.5 If the fire is outside your room, exit only if it is safe. Take your key/card in case you need to return.
19.1.6 Check the door temperature with the back of your hand. If cool, open it slowly from a crouched position.
19.1.7 If smoke is present in the hallway, crawl close to the floor where the air is clearer.
19.1.8 If evacuation is not possible, stay in the room, close the door, and seal the gaps with tape, towels, or wet sheets.
19.1.9 Call 112 and state your exact location. Signal your presence from the window.
19.1.10 If staying in isolated accommodation, wear warm clothes for thermal protection when evacuating.
19.2 In case of an earthquake
19.2.1 Remain calm and reassure those around you.
19.2.2 Do not leave the room during the quake. Do not use the elevator.
19.2.3 Stay away from windows and take shelter near interior walls, under beams, sturdy door frames, or heavy furniture.
19.2.4 Evacuate only after the shaking stops and follow sta or emergency responders’ instructions.
19.2.5 Use visual signals (e.g., waving a white cloth at the window) or call out to indicate your presence for rescue.
SECTION 20: SPA POLICY
20.1 The SPA is a dedicated area for tranquility and relaxation. Please respect other guests by keeping mobile phones on silent and avoiding loud conversations.
20.2 Alcohol consumption and smoking are prohibited in the SPA and fitness areas.
20.3 Robes, slippers, and towels are provided in the guest room for SPA use.
20.4 Therapists will guide you on appropriate attire and ensure your privacy during treatments.
20.5 Please arrive at the SPA reception at least 15 minutes prior to your appointment.
20.6 Late arrivals will not extend the scheduled treatment time.
20.7 Access to the SPA, wellness, and fitness areas is allowed only for guests aged 16 and over.
20.8 Children may access these areas only during designated times and with adult supervision.
20.9 Inform the team about any medical conditions or allergies. During pregnancy, therapists will recommend suitable treatments.
20.10 The hotel assumes no responsibility for lost or damaged personal belongings. Use the in-room safe or SPA lockers.
20.11 Wellness products are available for purchase at the hotel reception.
20.12 Sportswear and proper footwear are mandatory in the fitness room.
20.13 Inappropriate behavior—including vulgarity, intoxication, or disrespect toward sta or other guests—will not be tolerated. Please help maintain a calm and respectful atmosphere.
SECTION 21: FINAL CLAUSES
21.1 By using any service o ered by Swissôtel Poiana Brașov (accommodation, restaurant, SPA, or fitness area), guests acknowledge they have had the opportunity to read and understand the terms and conditions and accept them implicitly.
21.2 Swissôtel Poiana Brașov reserves the right to update these terms and conditions at any time without prior notice.
